The tools we use
We use a range of professional and AI-enabled tools in our practice, including commercial AI assistants and secure platforms for document management, payroll processing, and communication. The specific tools change over time as technology evolves, but the standard below does not.
How your information is protected
The AI and software tools we use are commercial- and business-grade products, not the free consumer versions. That distinction matters. Under the commercial agreements that govern our accounts:
- Your information is not used to train AI models.
- Your information is not shared or sold to third parties.
- Data is encrypted and subject to retention limits.
- Information you share with us stays within our firm and the protected channels we use to do your work.
AI helps us work faster and more thoroughly. It does not replace the judgment of your consultant. Work that involves AI assistance is reviewed by an experienced member of our team before it influences any advice, deliverable, or decision in your engagement, and our staff is trained on appropriate use of these tools and on protecting client confidentiality.
A word of caution: your own use of AI
The information your business handles, employee records, payroll data, health and benefits information, disciplinary matters, deserves the same care on your side. If you paste employee records, payroll files, or details of a sensitive personnel situation into a free consumer AI tool, that platform may store, review, and use what you typed, and you may be creating a privacy or compliance problem for your business.
Our advice:
- Do not paste employee personal information, payroll data, or details of sensitive personnel matters into consumer AI tools.
- Use business-grade accounts with commercial data protections for any work involving employee information, and put a simple AI use policy in place for your team. We can help with that.
- When in doubt about a sensitive situation, call or email us directly. That is what we are here for.
Also worth knowing: consumer AI tools confidently produce HR and employment-law guidance that is outdated, wrong for your state, or simply invented. We are happy to answer your actual question directly, and a short, plain question from you will always get a better answer than pages of AI-generated analysis.
